Connecting your Quickbooks account to Taxually

This guide explains how to connect your QuickBooks Online account to Taxually for automatic transaction data sync. You can connect multiple QuickBooks companies to a single Taxually account.


Before You Start


Requirements


  • A QuickBooks Online account with admin access
  • A Taxually account with at least one company set up
  • A modern web browser (Chrome, Firefox, Safari, or Edge)


What Taxually Will Access


When you connect, Taxually receives read-only access to your QuickBooks accounting data, including sales and purchase transactions, customer and vendor details, and tax codes applied to line items. Taxually cannot modify your QuickBooks data, create or delete transactions, access your bank account, or change any QuickBooks settings.


Connecting Your QuickBooks Account


  1. Log in to Taxually at app.taxually.com and go to Settings → Integrations
  2. Find the QuickBooks Online card and click Connect
  3. In the connection dialog, click Continue to QuickBooks—you'll be securely redirected to Intuit's authorisation page
  4. Sign in with your Intuit credentials. If you have multiple companies, select the one you want to connect
  5. Review the permissions and click Connect to authorise
  6. You'll be redirected back to Taxually and a success message will confirm the connection


Syncing Your Data


Automatic Sync


Once connected, Taxually automatically syncs your QuickBooks data on the 3rd of each month. Each sync pulls the previous month's transactions and uploads them to the relevant data period.


Manual Sync


To trigger an immediate data pull:


  1. Go to Settings → Integrations
  2. Click on the QuickBooks card to open the connection details
  3. Click Pull Data—the pull runs in the background and may take a few minutes


Tax Code Setup


Taxually automatically processes your QuickBooks data using a global mapping—no column mapping required. If you use any tax codes that are unique to your business, you can add and manage these in Tax Settings > Tax Codes.


Connecting Multiple QuickBooks Companies


You can connect multiple QuickBooks companies to your Taxually account. Each company is identified by its unique Realm ID. To add another company, go to Settings → Integrations, click the QuickBooks card, and follow the same connection steps above—signing in with the credentials for the other company.


Note that each QuickBooks company can only be connected once. To move a company to a different Taxually account, disconnect it first, then reconnect.


Disconnecting Your QuickBooks Account


  1. Go to Settings → Integrations
  2. Click on the QuickBooks card and click Disconnect
  3. Confirm the disconnection in the dialog


Data already synced remains in Taxually—only future automatic syncs will stop. You can reconnect at any time by following the connection steps again.


Troubleshooting


"Connection Failed" Error


  • Session expired: Try again—you may need to sign in to Intuit again
  • Network timeout: Check your internet connection and retry
  • Pop-up blocked: Ensure your browser allows pop-ups from Intuit's domain


"This QuickBooks company is already linked" Error


Each QuickBooks company can only be connected to one Taxually company at a time. To move it to a different account, disconnect the existing connection first via Settings → Integrations, then reconnect.


"No Companies Found" Error


Your Taxually account doesn't have any companies set up yet. Log in to Taxually, complete the onboarding to create your first company, then return to Settings → Integrations to connect.


Connection Shows as "Inactive"


This usually means the OAuth tokens have expired or been revoked. To fix this, disconnect the connection from Settings → Integrations and reconnect.


Data Not Appearing After Sync


  • Check that a Data Period exists for the month you expect data from
  • Ensure the Data Period is in a state that accepts file uploads (e.g., not already submitted or locked)
  • If the period already has a QuickBooks file from this connection, a new pull won't overwrite it—this prevents duplicates
  • Check the connection details for any error messages


Security & Permissions


The connection uses Intuit's secure OAuth 2.0 authentication. Your QuickBooks credentials are never shared with Taxually—access tokens are encrypted, stored securely, and limited to read-only access. You can revoke access at any time by disconnecting in Taxually or removing the app from your Intuit account. All data transmission is encrypted via HTTPS, and Taxually is GDPR compliant.

Do I need to be an admin in QuickBooks?


Yes, you need admin-level access to your QuickBooks Online account to authorise third-party connections.


Can I connect QuickBooks Desktop?


No, the integration currently supports QuickBooks Online only. QuickBooks Desktop is not supported.


Will disconnecting delete my historical data?


No. All previously synced data remains in Taxually. Only future automatic syncs will stop.


Can I connect stores from other platforms alongside QuickBooks?


Yes. Taxually supports multiple integrations simultaneously. You can connect QuickBooks alongside Shopify, Stripe, Amazon, WooCommerce, and other platforms.
