How Taxually Supports You with the Italian VIES Bank Guarantee

If you've chosen Taxually support for your Italian VIES bank guarantee, here's what happens, what we need from you, and what to expect at each stage.


How it works


When you select the “Request Taxually support” option in CrossTax, we coordinate the entire guarantee process on your behalf. Instead of a traditional bank guarantee, the guarantee is issued as a surety bond (in Italian: Polizza Fideiussoria). This gives the Tax Authority the same protection as a bank guarantee — but instead of your bank, an insurer issues it. That means no collateral and no Italian bank account needed.


The bond is issued by Tokio Marine Europe S.A. (the insurer) and arranged through CCH S.a.s. (the Italian insurance agency that handles the policy on Tokio Marine’s behalf).


The current fee for a 36-month guarantee is €2,800 (one-time payment). No deposit or collateral is required.


How this compares to self-arrangement: this route means you don’t need to deal with banks, insurers, or paperwork yourself. Taxually manages the entire process and submits the guarantee to the Tax Authority on your behalf. The trade-off is the €2,800 fee.


The process step by step


1. You select Taxually support in CrossTax. Select the 'Request Taxually support' option in CrossTax. Make sure your company information and standard onboarding documents are complete and up to date. We may need extra documents from you depending on your case — we will contact you by email once your CrossTax onboarding is complete, so please keep an eye on your inbox.

2. Taxually refer your case to our insurance partner. Our partner handles cases in the order they come in , and our partner works through them as quickly as possible. 

3. Our insurance partner prepares the draft guarantee. Our partner reviews your case and prepares a draft surety bond. Taxually receives the draft guarantee document and payment reference number.

4.  Taxually contacts you with the draft and payment details. We will reach out to you by email with the draft guarantee, the payment reference number, payment instructions, and clear guidance on how to send your payment confirmation back to us. The €2,800 fee is due at this stage.

⚠ Important — Once we reach out with the draft guarantee and payment details, we'll need you to act quickly. Please reply within 4 weeks of receiving our email. If we don't hear back in time, we'll need to put your case on hold — but we'll send you reminders before that happens. 

5. You make the payment and confirm. Make the payment using the reference number we provide and send your payment confirmation back to us as instructed in our email. Once we have verified the payment, we proceed to the next step.

6. Taxually submits the guarantee package to the Tax Authority. Once we've confirmed your payment, we send the full guarantee package to the Tax Authority by certified email (PEC), along with your Italian VAT registration (or transfer) application.

7. The Tax Authority confirms acceptance. The Tax Authority reviews and accepts the guarantee and your registration or transfer application. Once accepted, your CrossTax status changes to 'Filing Enabled' and we move your VIES application forward. We will notify you as soon as your Italian VAT number is fully active for trading across EU borders.


Power of Attorney — notarisation and apostille


As part of your Italian VAT registration, you'll need to provide a Power of Attorney (PoA). This is a document that authorises your fiscal representative (Blue Arrow Solutions S.r.l.) to act on your behalf. The PoA must be notarised and apostilled in your country before it can be used in Italy. Please factor this into your timeline.

Frequently asked questions


How long does the process take?

From the point of referral, the process typically takes 5–7 business days, assuming documents are in order and payment is confirmed promptly. We will keep you updated at each stage.

Can I change my mind about how I arrange the guarantee?

Yes — this works in both directions. If you initially chose to arrange the guarantee yourself and would now like Taxually to coordinate it on your behalf, or if you selected Taxually support and prefer to arrange it independently instead, please contact our customer care team (or your account manager, if you have one) as soon as possible so we can update your case. Please note that switching routes at a later stage will extend the overall processing time, so we recommend getting in touch promptly.

What if our insurance partner is unable to cover my case?

In rare cases, our insurance partner may be unable to issue the surety bond due to the risk profile of your company. If this happens, we will contact you directly and help you explore alternative options, including self-arrangement through a bank or another insurer.

What if I already have a bank guarantee from a previous provider?

This option is available for transfer clients only. During your CrossTax onboarding, you’ll find a question about your existing guarantee under the relevant section — simply select that option there. We will then verify whether it meets the current Tax Authority requirements.

What is VIES and when do I need it?

VIES (VAT Information Exchange System) is the EU-wide system for validating VAT numbers used in trading across EU borders. You need a VIES-valid Italian VAT number if you sell to or buy from EU-registered businesses, or if you move stock between Italy and other EU countries. If you sell on Amazon, a VIES-valid Italian VAT number is a mandatory requirement — without it, Amazon may block your seller account. 

What happens after the guarantee is accepted?

Taxually will submit the VIES application on your behalf if your Italian VAT number is not yet VIES-valid. For new registrations, your VAT number will be issued and activated for intra-EU use at this stage. For transfers, your existing VAT number will be updated to VIES-valid status. In both cases, we will notify you once your Italian VAT number is fully active.
